1. Who we are

LeadPilot AI is a small business based in New Jersey, USA. Contact: mike@useleadpilotai.com.

2. What this policy covers

Two distinct populations:

  • Site visitors — anyone visiting useleadpilotai.com.
  • Callers and contacts of our clients — i.e., the callers, texters, and chatters who interact with an AI agent we operate on behalf of a contractor business.

3. Our role for caller data (controller / processor)

When you visit this website, LeadPilot AI is the controller of your data. When a caller dials a phone number that LeadPilot operates on a client's behalf, the contractor business you called is the controller and LeadPilot AI is the processor. We process caller data on the contractor's behalf under our services agreement. If you are a caller and want to access, correct, or delete your data, contact the contractor business you called first; you may also email us and we will route the request.

4. Data we collect from site visitors

Page paths viewed, referrer, approximate location derived from IP, user agent, and timestamp. IP address is collected as a network identifier; we do not use IP for advertising or tracking. No third-party advertising pixels.

5. Data we collect from callers and contacts of our clients

  • Name and contact info (phone, email) when provided.
  • Voice recordings of calls placed to numbers we operate.
  • Transcripts and structured notes derived from those recordings.
  • Call metadata (timestamps, duration, outcome).
  • Inbound and outbound SMS and chat message content.

6. Call recording notice

Calls placed to numbers we operate on behalf of our clients are recorded for quality, training, and to confirm appointment details. The agent announces the recording at the start of each call. Continuing the call constitutes consent to be recorded. If you do not consent, end the call and contact the business by another channel.

7. SMS / messaging

Some clients use LeadPilot for SMS follow-up. Message and data rates may apply. Reply STOP at any time to opt out of further messages from that client's number. Reply HELP for assistance. Frequency varies by client and conversation.

8. Why we collect it

To answer calls, qualify leads, book appointments, and write the result into our client's CRM. To improve the AI agent operating on each client's account. We do not sell personal information. We do not share personal information for cross-context behavioral advertising.

9. Sub-processors

  • Anthropic — large-language-model inference (Claude).
  • Vapi — voice-agent orchestration. Vapi in turn uses speech-to-text and text-to-speech vendors (Deepgram, ElevenLabs, or similar) configured per client.
  • Twilio — telephony, SMS delivery, A2P 10DLC compliance.
  • SendGrid (Twilio) — transactional email.
  • Google — Calendar API for client calendar booking and OAuth sign-in for client operators.
  • Calendly — embedded scheduling for the “Book a demo” CTA on this site (collects prospect-provided data: name, email, calendar slot).
  • Supabase — database and authentication.
  • Vercel — application hosting.

10. Retention

  • Voice recordings: 90 days, then deleted.
  • Transcripts and structured notes: retained for the duration of the client engagement plus 12 months, then deleted.
  • SMS and chat content: retained for the duration of the client engagement plus 12 months, then deleted.
  • Site analytics: 14 months.
  • Once data is written to a client's CRM (Jobber, Housecall Pro, ServiceTitan, etc.), retention is governed by the client's CRM, not by LeadPilot.

Deletion runs on automated schedules; data-subject deletion requests accelerate this.

11. California residents

California residents have rights to know, delete, correct, and opt-out of sale or sharing of personal information. We do not sell personal information and do not share it for cross-context behavioral advertising. To exercise any right, email mike@useleadpilotai.com or contact the contractor business you called.

12. Your rights

Anyone may request access, correction, or deletion of their personal information by emailing mike@useleadpilotai.com. We respond within 45 days. For caller data, see section 3 — the contractor you called is the controller of record.
