SMS Program Terms
1. Program name and operator
LeadPilot AI Lead Alerts & Appointment Messaging. Operated by LeadPilot AI LLC, a New Jersey limited liability company. Contact: mike@useleadpilotai.com.
LeadPilot AI provides an AI receptionist to home-service contractors (HVAC, plumbing, electrical, roofing). Messages are sent from phone numbers we operate on behalf of a specific contractor business, and every message identifies that business by name.
This is not a marketing program. We send no promotional, advertising, or solicitation messages of any kind, and we never message a phone number obtained from a purchased, rented, or third-party list.
2. Who receives messages, and how each one consents
A. Business owners (our paying clients)
A contractor becomes a client by signing a written services agreement with LeadPilot AI. That agreement contains the following consent provision, which the owner accepts by signature, and which lists the mobile number they designate for alerts:
I agree to receive SMS notifications from LeadPilot AI at the mobile number I provide, about leads, appointments, and account activity on my own account. Message frequency varies with my call volume. Message and data rates may apply. Reply STOP to opt out, HELP for help. See useleadpilotai.com/privacy and useleadpilotai.com/sms.
Consent is recorded against the client account with the date of signature. No owner number is enrolled without that signed provision. The owner may name additional staff numbers; the owner is responsible for obtaining that staff member's agreement before adding them, and each added number can reply STOP independently.
B. Consumers who contact one of our clients
A consumer is only ever messaged after that consumer initiates contact with the contractor business. There are two paths, and no other:
- Verbal consent on a phone call the consumer placed. The consumer dials the contractor's business number and speaks with our AI assistant. The assistant asks, in plain language: “Is it okay if I text you at this number about your appointment? You'd get appointment updates from [business name]. Message frequency varies. Message and data rates may apply. Reply HELP for help or STOP to unsubscribe.” A clear yes is stored against that phone number with a timestamp and the call identifier; anything other than a clear yes is stored as a decline. Every message we send to a consumer checks that stored record immediately before sending, and is not sent when consent is absent, declined, or cannot be read. The question and the answer are also captured in the call recording and transcript, which we retain as the evidentiary record and can produce on request.
- The consumer texts us first. A consumer who sends an inbound SMS to a business number we operate has opted in to a reply. We reply only within that conversation.
We do not text a consumer who has not called or texted the business. We do not text a consumer who declined the verbal request. There is no web form, list upload, or purchased-data path into this program.
3. What we send
| Message type | Recipient | Trigger |
|---|---|---|
| New lead alert | Business owner | A call to their business is answered and a lead is captured |
| Emergency lead alert | Business owner | A caller reports an urgent condition (gas leak, no heat, flooding) |
| Overnight digest | Business owner | Summary of calls received while the business was closed |
| Lead reply alert | Business owner | A lead sends a free-text reply we cannot act on automatically |
| Cancellation alert | Business owner | A consumer cancels their own appointment, from the confirmation link or on a call with the assistant |
| Reschedule alert | Business owner | A consumer moves their own appointment to a different time on a call with the assistant |
| Calendar sync failure alert | Business owner | A cancelled or rescheduled appointment could not be updated on the connected calendar |
| Appointment confirmation | Consumer | The consumer booked an appointment during their own call, or the appointment was moved to a new time — by the consumer on a call, or by the business |
| Cancellation receipt | Consumer | The consumer cancelled their own appointment on a call with the assistant |
| Reschedule-needed notice | Consumer | The business has to call off the consumer's booked appointment (a sick technician, a weather day) and invites them to call for a new time |
| Running-late notice | Consumer | The business reports it is running behind for the consumer's booked appointment that day |
| Appointment link | Consumer | A caller asked for, or was offered, a link to manage an appointment. Sent only to the number already on that appointment, never to a number given on the call |
| Appointment reminder | Consumer | 24 hours, and again 2 hours, before an appointment the consumer booked |
| Post-call follow-up | Consumer | The consumer called, consented to a text, and did not book — one message, then the conversation is left to them |
| Review request | Consumer | The business marks the consumer's job completed — one request about two hours later, with a link to the business's Google review page |
| Review follow-up | Consumer | Three days after a review request whose link was never opened — one message, then we stop asking for that job permanently |
| Conversation reply | Consumer | A reply inside a thread the consumer started |
| Reply to a text we cannot read | Consumer | They text us something that is not an opt-out or acknowledgement keyword — one reply per number per 4 hours, pointing them to the phone line |

4. Message frequency
Frequency varies and is driven entirely by activity, not by a schedule. Business owners receive roughly one message per inbound call to their business, plus a message when a customer changes an appointment. Consumers receive at most one confirmation or one follow-up per call they place, and one confirmation per change made to their appointment's time; up to two reminders for each appointment they booked; one receipt if they cancel or move an appointment on a call; a notice if the business has to reschedule, or is running late for their appointment that day; at most one appointment link per four hours; at most one review request and one review follow-up per completed job, ever; and any replies inside a conversation they started. We send no recurring or scheduled broadcast messages.
5. Cost
LeadPilot AI does not charge for messages. Message and data rates may apply under your own plan with your mobile carrier.
6. How to stop messages (opt out)
Reply STOP to any message. We also honor STOPALL, UNSUBSCRIBE, CANCEL, QUIT, END, OPTOUT, and REVOKE. You will receive one confirmation that you have been unsubscribed, and no further messages from that business number. Opt-outs are recorded in our own systems, keyed to your phone number, so they survive any change of the sending number.
To resume, reply START, UNSTOP, or YES. You may also email mike@useleadpilotai.com to be removed.
7. How to get help
Reply HELP to any message for support contact details, or email mike@useleadpilotai.com.
8. Carriers and delivery
Carriers are not liable for delayed or undelivered messages. Delivery is not guaranteed. Message delivery depends on your carrier and handset.
9. Privacy and consent data
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties. Full detail on what we collect and why: Privacy Policy. Site terms: Terms of Use.
Messages are transmitted using Twilio as our messaging provider, acting as a service provider under our instruction. Consent records are not sold, rented, or shared.
